The First 5 Minutes: Why Speed to Lead Matters More Than You Think

A lead does not become less valuable because the buyer changed their mind. It becomes less valuable because someone else responded first.

The clock starts when the enquiry arrives.

In property sales, the moment a buyer submits an enquiry is one of the most commercially valuable moments in the entire funnel. They have shown intent, identified a property or opportunity they are interested in, and opened the door to a conversation. But that window does not stay open indefinitely.

Research into online sales leads has repeatedly shown that response time has a significant relationship with qualification. A widely cited study of more than one million web leads found that contacting a lead within five minutes made the lead 21 times more likely to enter the sales process compared with waiting 30 minutes. The original research was not specific to real estate, so the number should not be treated as a property-sales conversion guarantee - but the operational lesson is clear: speed matters.

For property developers, this becomes even more important when buyers are considering several projects at the same time. A prospective buyer may enquire with three developments, speak with multiple agents and browse several websites within the same evening. The first meaningful response can therefore become the beginning of the relationship.

Speed alone is not the strategy.

A fast response with no context is not enough. The objective is to create a system where the enquiry is acknowledged quickly, the buyer is understood, and the right person receives the opportunity with enough information to continue the conversation.

That means connecting the website, CRM, qualification process, appointment setting and sales team. Instead of asking an advisor to manually check inboxes and respond to every enquiry, the system should create a clear path from enquiry → qualification → appointment → sales conversation.

The difference is operational, not cosmetic.

Measure the gap, not just the lead.

Most businesses measure how many leads they generate. Fewer measure how quickly those leads are contacted, how many are qualified, how many appointments are booked and how many ultimately become revenue.

That creates a blind spot.

A stronger commercial dashboard should track metrics such as average response time, contact rate, qualification rate, appointment rate and lead-to-sale conversion. These numbers reveal where the actual bottleneck sits.

Because if 100 enquiries enter the system but only five become meaningful sales conversations, the problem may not be the number of leads.

It may be what happens in the minutes, hours and days after they arrive.
